Calliary

Chapter 7

Sharing

How to choose among Calliary's three ways to share events with other people, create a calendar and invite people, and accept an invite and join. This chapter also explains who can do what, “Show my events”, and category sharing.

7-1Three ways to share

There are three ways to share a calendar with other people. My calendar is your own calendar, one per person, so it is not shared as a whole. Instead, you choose one of the three ways below.

If the table is wider than the screen, swipe sideways to see all of it.

Where to startSettings ▸ Manage sharing ▸ “Create a shared calendar”Settings ▸ Manage sharing ▸ a category ▸ “Show on calendars”Settings ▸ Manage sharing ▸ a category ▸ “Invite people to share with”

A shared calendar is a new calendar that several people use together. The person who creates it invites people with an invite code, and the events and decorations added to that calendar look the same for everyone who shares it. How to create one is in 7-2 Creating a shared calendar.

Show my events makes events you have already written in My calendar appear in a shared calendar too. The original events stay in My calendar, and the other person can only view them. You choose by category, so categories you do not choose do not appear in that calendar. For details, see 7-6 Show my events.

Category sharing lets you pick one of your categories and share only the events in it. The invited person can also see those events and edit them directly. Events, stickers, and diary entries outside that category are not visible to the other person. For details, see 7-7 Category sharing.

All three ways are free. Decorating with stickers, notes, photos, and drawings, and themes beyond the six basic ones, require Pro.

The share button in My calendar

When you tap the share button at the top of My calendar, three rows appear under the message “To use My calendar with others, share a category or make a shared calendar.”

If the table is wider than the screen, swipe sideways to see all of it.

“Share category”Opens “Manage sharing”.
“Create a shared calendar”Opens the screen for creating a new shared calendar directly.

All sharing in one place: “Manage sharing”

Shared calendars, categories, and cycle sharing are all handled in Settings ▸ Manage sharing. The bottom row of the calendar switcher list, which opens when you tap the calendar name, also opens the same “Manage sharing” screen.

7-2Creating a shared calendar

The person who creates a shared calendar sets its name and permissions, then invites people. This section uses creating “Our Summer” as the example.

  1. Tap or click Settings ▸ Manage sharing.

  2. Tap or click “Create a shared calendar”. The “New shared calendar” screen opens. Tapping the share button in My calendar ▸ “Create a shared calendar” opens the same screen.

  3. Type the calendar name in the “Name” field. Example: “Our Summer”.

  4. In “Color”, pick one color to represent this calendar.

  5. In “Permissions”, choose “Can edit” or “Can view”. “Can edit” is selected at first.

  6. If you chose “Can edit”, set the “Only the owner decorates” switch. It is on at first.

  7. Tap or click “Create”.

The calendar is created only when you tap “Create”.

Descriptions that change with the permission and switch

The description at the bottom of the “Permissions” card changes to match what you choose.

If the table is wider than the screen, swipe sideways to see all of it.

“Can edit” + “Only the owner decorates” off“People you invite add and edit events and to-dos and decorate with stickers, notes, photos, and drawings too. Each person needs their own Pro to decorate.”

If you choose “Can view”, the “Only the owner decorates” switch does not appear, because view-only participants cannot decorate.

After you create it

The new calendar appears in the shared calendar list in Manage sharing. In front of each calendar row, that calendar's participant permission, “Can edit” or “Can view”, is shown. Tap the calendar to open “Manage this calendar”, where you manage invites, the name, color, theme, permissions, and “Co-decorating notifications”.

You can change the participant permission and “Only the owner decorates” in “Manage this calendar” after creating the calendar too. While a permission change is being applied, “Applying…” appears. If it fails, “Couldn't apply the permission change” and “Try again” remain.

7-3Inviting people

To invite people to a shared calendar or a category, create an invite code and send it. Invites work only through invite codes. There are no public links. Creating a code requires a device signed in to iCloud. On a device that is not signed in, a shared calendar shows “You can send invitations from a device signed in to iCloud.” and a category shows “You can invite people to share this category from a device signed in to iCloud.”

Where to create a code

If the table is wider than the screen, swipe sideways to see all of it.

In a category you already share, the “Invite people to share with” row changes to “Manage and invite people”.

Creating a code

  1. Open the invite screen from the place in the table above.

  2. In “Expires”, choose how long the code can be used.

  3. In “How many people”, set how many people can join with this code.

  4. If needed, turn on “Set a password” and type a password.

  5. Tap or click “Create code”.

As it progresses, the button shows “Preparing the invite…” and then “Making the code…”. When it is done, the code and a QR code appear.

If the table is wider than the screen, swipe sideways to see all of it.

A calendar or category can be shared by up to 100 people in total. If many people have already joined, the number you can choose goes down by that much.

If you set 2 or more people and choose “7 days”, a password is required. The switch then stays on and “A code for several people that lasts this long needs a password.” appears. When you set a password, the app tells you “Send the password separately.” Send the password by a different route from the code.

Sending the code

Once the code is created, the buttons below appear.

If the table is wider than the screen, swipe sideways to see all of it.

“Copy code”Copies only the code.
“Copy the invitation text”Copies text that contains the code and instructions for installing and joining.
“Share”Sends the same invitation text to another app, such as Messages or Mail.
“Save as image”Saves a picture with the code, the QR code, and how to use it. On iPhone and iPad it is saved to the Photos app; on Mac it is saved as a PNG file to the place you choose in the save window.

The text sent with “Copy the invitation text” and “Share” contains the following, in order.

  • The invite code
  • “If you don't have Calliary yet, install it from the App Store first.” and the App Store address
  • “In Calliary, go to ‘Settings then Manage sharing then Join with an invite code’ and enter this code.”
  • The validity period and number of people

If you send a shared calendar's code during the friend invite event, the first line changes to “I'm inviting you to a calendar we share in Calliary! Join and you'll get a Pro 1-month pass too. Invite code: (code)”. The event is covered in 7-13 Friend invite gift.

The password is not included in the invitation text or the picture. The picture for a code with a password includes “The password comes separately.”

If the person receiving the code does not use Calliary yet, use “Copy the invitation text” or “Share” instead of “Copy code”. These options include where to install the app and where to enter the code.

A picture made with “Save as image” shows, in large type, the title “Join with an invite code”, what the invite code is for, and the code and QR code. The instructions below start with “In Calliary, open Manage sharing and tap Join with an invite code.” The person who receives it can read the QR code in the picture with the camera to enter the code. On iPhone and iPad, if Calliary does not have permission to save to the Photos app, “Calliary can't add the image to Photos right now. You can turn on adding photos for Calliary in Settings.” appears.

Viewing a code again

After closing the code screen, you can view the code again in the places below.

If the table is wider than the screen, swipe sideways to see all of it.

If you try to close the code without copying or sharing it, the app asks “Did you copy the code?” and tells you where to see it again, as in “You can see this code again later under Manage this calendar → People you decorate with.” A code with every spot taken closes without asking.

How long a code lasts, and canceling it

A code can be used any number of times while it is within its validity period and has spots left. If someone who was sharing leaves with “Stop receiving this share”, they can come back with the same code as long as it is still valid. To stop anyone else from joining with a code, cancel it. Where you cancel depends on whether you have just created the code.

To cancel from the screen of a code you just created:

  1. On the code screen, tap “Cancel this code”.

  2. When “This code no longer works.” appears, the code is canceled.

To cancel a code after closing its screen:

  1. For a shared calendar, open “Manage this calendar → People you decorate with”; for a category, open that category's “People you share with”.

  2. Tap or click “Cancel this code” in the row of the code you want to cancel.

  3. In the confirmation window, tap “Cancel this code” once more.

A code screen you reopen does not have “Cancel this code”. The confirmation window's message depends on the spots left.

If the table is wider than the screen, swipe sideways to see all of it.

If you cancel a code with every spot taken, people who left cannot come back with that code either. Canceling a code does not remove people who have already joined. How to remove people is in 7-10 Stopping.

7-4If you were invited

If you received an invite code, enter it in the Calliary app to join. The order is: install the app, enter the code, and join.

If you just installed Calliary

iPhone and iPad:

  1. Install Calliary from the App Store and open it.

  2. The nickname window and the first-run guide appear in turn.

  3. On the first page of the first-run guide, tap “Join with an invite code”.

  4. Continue from step 2 of “Entering the code” below.

Mac: the first-run guide does not have “Join with an invite code”. Open it with the steps in “If you already use Calliary” below.

If you already use Calliary

  1. Tap or click Settings ▸ Manage sharing. You can also tap or click “Manage sharing” at the bottom of the list that opens when you tap the calendar name.

  2. Tap or click “Join with an invite code” at the top.

Entering the code

  1. Open the “Join with an invite code” screen in one of the ways above.

  2. Tap or click the “Invite code” field.

  3. Enter the code you received. You can also paste the whole invitation text you received. Only the code in the text is picked out and put in the field. The app fills in capitals and hyphens.

  4. Tap or click “Next”. What you were invited to (“Shared calendar” or “Category sharing”), its name, and who invited you, as in “Invited by Sky”, appear.

  5. If the code has a password, “The person who invited you set a password. Enter the one they sent separately.” appears. Enter the password you received separately.

  6. Tap or click “Join”.

As it progresses, the button shows “Checking the code…”, “Getting ready to join…”, and “Connecting…” in turn.

Entering with a QR code

If you have the QR code from an invite picture (made with “Save as image”) or on the other person's screen, you can read it with the camera to enter the code.

iPhone and iPad:

  1. On the “Join with an invite code” screen, tap “Scan QR code”.

  2. When “Point the camera at the QR code on the invite.” appears, line the QR code up on the screen.

  3. When the code appears in the field, tap “Next” and continue from step 4 of “Entering the code” above.

If camera access is off, “Calliary needs camera access to read a QR code. You can turn it on in Settings.” appears. On a device without a camera, “This device can't scan QR codes. Type the code in instead.” appears.

Mac: there is no “Scan QR code”. Type the code or paste the invitation text you received.

After you join

When the shared calendar reaches your device after you join, Settings closes and the calendar opens. The card “You joined this shared calendar and it's open now.” appears above the calendar. Right after a first install, a gift card appears after the join card.

When you join a category share, “You joined. It shows up in a moment.” appears, and the received category appears in your category list labeled like “Shared by Sky”. For details, see 7-7 Category sharing.

Cycle sharing codes also go into the same “Join with an invite code”. Cycle sharing is explained in “Chapter 14 Cycle tracking”.

If you enter a wrong code 5 times within 1 minute, you cannot enter a code for 30 seconds. Wrong passwords do not count toward this.

7-5Who can do what

What you can do in a shared calendar depends on whether you created it, what the participant permission is, and whether you have Pro yourself. The Pro needed for decorating is per person. Even if the creator has Pro, free participants cannot decorate.

If the table is wider than the screen, swipe sideways to see all of it.

The creator sets the participant permission and “Only the owner decorates” in “Manage this calendar”. When a participant changes the theme, the creator gets a notification that the calendar color was changed. How to choose a theme is in 7-9 Themes for shared calendars.

When you decorate together

When “Only the owner decorates” is off, “Can edit” participants who have Pro decorate together. Each person who draws has a separate layer for drawings, so your strokes do not erase the other person's drawing.

The brush button for people who cannot decorate

People who cannot decorate still see the brush button, with a lock on it. Tapping it shows the reason.

What “Can view” participants see

When a view-only participant taps an event, the “View only” window opens. In this window they see the time, repeat, reminders, location, memo, category, and who wrote the event. They cannot write, edit, or delete events. On days with no to-dos, the “To-dos for this day” add field does not appear.

7-6Show my events

“Show my events” lets you pick one category in My calendar and make its events appear in a shared calendar too. You write an event once in My calendar, and it appears in every calendar you chose. The original is in My calendar, and the people in the shared calendar can only view those events.

A shared calendar must exist first. If you do not have one yet, create one first with 7-2 Creating a shared calendar.

Starting to show events

This section uses showing the events of the category “Workout” in “Our Summer” as the example.

  1. Tap or click Settings ▸ Manage sharing.

  2. In “My categories”, tap “Workout”.

  3. In “Show on calendars”, check “Our Summer”.

When you check it, all of that category's events, including the title, time, location, and memo, are visible to everyone in that calendar. Only you edit them; the other people can only view them. You can also show one category in several calendars. Categories you do not choose do not appear in that calendar, so you can keep events that only you see even while using a shared calendar.

How shown events look

If the table is wider than the screen, swipe sideways to see all of it.

You“You designated one of your categories to show on this calendar. Edits to the original event show up here too. To edit or delete it, open the original event — or turn the designation off in the category's settings.”
The other people in the shared calendar“This event came in from a shared category, so it's read-only here. It changes when the person who manages it edits the original.”

Stopping showing events

In the same “Show on calendars”, uncheck that calendar. When you uncheck it, these events disappear from that calendar. The originals in My calendar stay as they are.

The “Default calendar” check

“Default calendar” at the top of “Show on calendars” is My calendar. If you uncheck it, that category's events are hidden from My calendar, the year view, and the Upcoming strip. Reminders still arrive.

7-7Category sharing

Category sharing lets you use one of your categories together with the people you invite. The other person can also see and edit the events in that category. Events, stickers, and diary entries outside that category are not visible to the other person. This section uses sharing the category “Workout” with “Ocean” as the example.

Starting to share

  1. Tap or click Settings ▸ Manage sharing. Tapping the share button in My calendar ▸ “Share category” opens the same screen.

  2. In “My categories”, tap “Workout”.

  3. Tap or click “Invite people to share with”. The “Create an invite code for the category ‘Workout’” screen opens.

  4. Set the period, number of people, and password, and tap “Create code”.

  5. Send the code with “Copy the invitation text” or “Share”.

In a category you already share, the row in step 3 changes to “Manage and invite people”.

You can also invite people right when you create a new category. If you turn on “Invite people to share with” in the “Category sharing” card of the new category screen and create it, the screen does not close and moves on to the invite step. This switch is off at first.

Choosing the period, number of people, and password and sending the code work the same as for a shared calendar. See 7-3 Inviting people. The person who receives it joins with the steps in 7-4 If you were invited.

You can reopen a closed code in that category's “People you share with”.

How a received category looks

In the recipient's category list, a received category shows the sender's name under its name, as in “Shared by Sky”. If the sender's name is not known, “Shared with you” appears instead. Events in a shared category show the name of the person who wrote them.

On the web, events from received categories appear mixed into “My calendar”.

How it differs from “Show on calendars”

“Show on calendars” on the category screen is 7-6 Show my events, and the other person can only view. With category sharing through “Invite people to share with”, the other person can also edit events. The screen also says “Invite someone and you share this category with them. They can see the events in it and edit them directly. Show on calendars above is different — it only shows the events, with no editing.”

Stopping sharing

There are three ways to stop category sharing, and each has a different result.

If the table is wider than the screen, swipe sideways to see all of it.

Stopping sharing

How to remove only one person, and each confirmation window, are in 7-10 Stopping.

7-8Switching calendars and showing names

If you have at least one shared calendar, tap the calendar button at the top of the screen to change which calendar you see. This section explains how to switch calendars, which calendar opens first when you open the app, and how the names of the people you share with appear.

Switching calendars

  1. Tap or click the calendar button at the top of the screen. On iPhone it is a button with only a calendar icon; on iPad and Mac it is a capsule with the calendar's name. The calendar list opens.

  2. Tap or click the calendar you want to see in the list. The screen changes to that calendar.

The list is ordered as follows.

If the table is wider than the screen, swipe sideways to see all of it.

WebThe “Switch calendar” list shows the same calendars as the app. Each row says what kind of calendar it is, such as “Yours · Shared calendar”, “Joined · ○○'s calendar”, or “View only · ○○'s calendar”.

If the list is too long to fit, a scroll bar appears briefly when it opens.

When you are viewing a calendar you joined with “Can view”, “View only” appears next to the calendar's name. On iPhone it shows in the small calendar-name line above the month and year title; on iPad and Mac it shows inside the calendar capsule at the top.

The calendar that opens first

On each device, the app opens to the calendar you had open last. To always open the same calendar, set “Calendar to open first”. This item appears only if you have at least one shared calendar.

  1. Tap or click Settings ▸ Calendar display.

  2. In the “Opening the app” group, tap “Calendar to open first”.

  3. Choose one of “Last one you had open”, “My calendar”, or the name of a shared calendar.

The screen description reads “Choose which calendar opens first, on this device only. For Home Screen widgets, press and hold each widget to pick its calendar.” If you have several devices, such as an iPhone and an iPad, set it on each device separately. If you leave the chosen calendar or it is deleted, the app opens to “My calendar”.

When you come in another way, the following calendar opens.

The bottom of each row shows a status: “Owner” on the owner's row and “Sharing” on the rows of the people sharing it. In a participant's list, the owner's name appears as “Sky (owner)”. Invite codes nobody has used yet appear below the people rows.

Each event carries the nickname its writer had when writing it.

  • In the list, events written by someone else show the writer, as in “Written by Ocean”.
  • When you open an event, the writer's nickname appears.
  • Events you wrote have no writer line.
  • Events whose writer is unknown show “No author shown”.

Change your nickname in Settings ▸ Manage sharing ▸ “My nickname”. The screen description reads “Change it and every permission stays the same.” A changed nickname appears on events you write from then on. Events you already wrote keep the nickname you had when you wrote them. Nicknames are remembered separately for each Apple Account. If you switch Apple Accounts on one device, the nickname you set for each account is still used.

7-9Themes for shared calendars

A shared calendar can have a theme of its own. A theme is the calendar's paper and colors. The theme chosen for that calendar looks the same for everyone who shares it.

Choosing a theme

  1. In Settings ▸ Manage sharing, tap a shared calendar. “Manage this calendar” opens.

  2. Tap or click “Decorating”.

  3. Tap or click the theme you want. At this point it only previews on your screen.

  4. Tap or click “Save”. The calendar's theme now changes on the screens of everyone who shares it.

If you only choose a theme and then tap “Cancel”, the theme stays as it was. A saved theme reaches the other person even while they have the app open, without reopening it.

Under the “Decorating” row, the current state is shown.

If the table is wider than the screen, swipe sideways to see all of it.

Only the owner changes the calendar's name and color. A participant's “Manage this calendar” reads “Only the person who made this calendar changes its name and color.” If a participant has nothing to save in “Manage this calendar”, there is only “Close” at the top instead of “Save”.

When a participant changes the theme, the owner gets a notification such as “Ocean changed the calendar colors”. The owner turns this notification off with the “Calendar colors” kind in that calendar's “Co-decorating notifications” (7-12 Sharing notifications and “Notification log”).

How you stop sharing depends on who is stopping what. The owner removes one person, stops sharing only a category, or ends the whole share. An invited person leaves on their own.

If the table is wider than the screen, swipe sideways to see all of it.

Removing one person (owner)

  1. In Settings ▸ Manage sharing, tap a shared calendar or category.

  2. Tap or click “People you decorate with” (for a category, “People you share with”).

  3. Tap or click “Remove” next to the person you want to remove.

  4. In the “Remove this person?” window, tap “Remove”.

The “Remove this person?” window says that person will leave this share, along with “Removing someone makes this calendar and the events and decorations in it disappear on their device. To bring them back, send a fresh invitation.” For a category it reads “Removing someone makes this category and the events in it disappear on their device. To bring them back, send a fresh invitation.” This reaches that person the next time their device syncs. Only the owner can “Remove” someone.

If the invite code you gave that person is still in the list, they may be able to rejoin with the same code. The screen reads “If the invite code you gave them is still in this list, they may be able to rejoin with it. To stop that, cancel that code.” To stop that, tap “Cancel this code” on that code (7-3 Inviting people).

To prevent new invitations, turn on “Lock out new people”. The screen description reads “Lock it and you can't make new invitations. People already sharing stay.”

Stopping only a category share (owner, keeps the events)

Use this when a category share you made has people sharing it.

  1. In Settings ▸ Manage sharing, tap that category.

  2. Tap or click “Stop sharing (keep the events)”.

  3. In the “Stop sharing this category?” window, tap “Stop sharing”.

The window's description reads “Everyone you share this with is removed, and invite codes nobody has used are canceled. On their devices the category and its events disappear at the next sync. On yours they stay.” If you chose “Show on calendars” for that category, the window continues with “Its events still show on the calendars you picked in Show on calendars.”

Ending the whole share (owner, deletes)

Shared calendar:

  1. In Settings ▸ Manage sharing, tap that calendar.

  2. At the bottom of “Manage this calendar”, tap “Stop co-decorating (delete calendar)”.

  3. In the “Stop co-decorating?” window, tap “Stop co-decorating (delete calendar)”.

The window's description reads “This calendar and every event, sticker, and drawing in it disappear for everyone who was decorating it with you. There is no undo.”

Category:

  1. In Settings ▸ Manage sharing, tap that category.

  2. Tap or click “Stop sharing (delete category)”.

  3. The “Delete the category you share” window appears. If people are sharing it, this window also has “Stop sharing (keep the events)”.

  4. To delete it, tap “Stop sharing (delete category)”.

The window's description reads “This category and every event in it are deleted for good, for you and for everyone sharing it. This can't be undone.”

Leaving as an invited person

Shared calendar:

  1. In Settings ▸ Manage sharing, tap that calendar.

  2. In “Manage this calendar”, tap “Stop receiving this share”.

  3. In the “Stop receiving this share?” window, tap “Stop receiving”.

For a category, in Settings ▸ Manage sharing tap the category you received, tap “Stop receiving this share”, and then tap “Stop receiving” in the same window.

The window's description reads “This calendar disappears from your device. The person who made it keeps it. If your invite code is still valid, you can rejoin with the same code.” for a shared calendar, and “This category and its events disappear from your device. They stay with the person who made it. If your invite code is still valid, you can rejoin with the same code.” for a category. When you leave, the owner's notification log records it, as in “Ocean left this shared calendar”.

Doing it from the list

In the Settings ▸ Manage sharing list, swipe left on a calendar row or category row (on Mac, right-click) to choose the same actions directly. After you choose, the same confirmation window as above appears.

If the table is wider than the screen, swipe sideways to see all of it.

Rows of calendars and categories not yet shared with anyone show “Delete”. For a calendar, the “Delete this calendar?” window reads “This calendar and every event, sticker, and drawing in it are gone. There is no undo.”, and tapping “Delete (events and decorations go too)” deletes it. For a category, the “Delete this category?” window appears.

7-11When you were removed

If the owner removes you from a shared calendar or deletes the calendar, that calendar disappears from your device. This section explains what you see on screen then and what happens to what you were writing.

When you are removed from the calendar you are viewing

If you are removed while viewing that calendar, the screen changes to “My calendar” and a card appears.

  • Title: includes that calendar's name, as in “You're no longer in ‘Our Summer’”.
  • Description: “You can't see this shared calendar anymore, so you're back on My calendar.”

The card stays until you tap “OK”. It stays even if you reopen the app. If you left on your own with “Stop receiving this share”, this card does not appear.

If you are removed from a calendar you were not viewing, the screen stays as it is, and this is recorded in the in-app notification and in Settings ▸ “Notification log”.

When you are removed from a category you received or that category is deleted, no card appears either. The in-app notification and “Notification log” record “Sharing has ended. This category's events aren't visible anymore.”

What you were writing

If you try to save an event in that calendar after you were removed, the “This Calendar Is No Longer Shared with You” window appears. For a category it is “This Category Is No Longer Shared with You”. The window's description reads “Keep a copy in My calendar? What you wrote will be saved as it is.”

If the table is wider than the screen, swipe sideways to see all of it.

What you were writing
What you chooseResult
“Save a Copy to My calendar”What you wrote is saved as a new event in My calendar.
“Keep Editing”The window closes and you return to the screen you were writing in.

Changes already saved but not yet sent when you are removed are kept as a copy in My calendar. The app then tells you “Sharing ended before your changes were sent, so they were kept as a copy in My calendar.”

Getting back in

Even if the owner used “Remove” on you, you can rejoin with the same code if the invite code is still valid and there is room left. If the code was canceled or has expired, get a new code from the owner (7-4 If you were invited). If the owner deleted the calendar, that calendar no longer exists.

7-12Sharing notifications and “Notification log”

When the people you share with add or change events or decorations, Calliary sends you a notification. Notifications arrive even when the app is not open. Look at past notifications again in Settings ▸ “Notification log”.

What you need to receive notifications

All three must be on for notifications to arrive.

If the table is wider than the screen, swipe sideways to see all of it.

What you need to receive notifications
StepWhereDescription
1. The device's notification permissionCalliary notifications in the device's SettingsIf it is off, a “Notifications are off” row appears in Calliary's Settings ▸ Notifications. Tapping that row asks for permission or opens the Calliary notification screen in the device's Settings.
2. “Sharing notifications”Settings ▸ NotificationsTurns notifications for all shared calendars and categories on or off at once.
3. Notifications for each calendar“Manage this calendar” ▸ “Co-decorating notifications”, or “Activity notifications” for a shared categoryTurns on notifications for that calendar or category and chooses which kinds to receive.

The description of “Sharing notifications” in Settings ▸ Notifications reads “We let you know when someone you share with adds or changes an event or a decoration. If several things change at once, they arrive as one notification.” If this switch is off, each calendar's notification screen shows “Sharing notifications are off in Settings. Turn them on for these choices to take effect.”

Choosing notification kinds for each calendar

  1. In Settings ▸ Manage sharing, tap a shared calendar.

  2. In the “Notifications” group of “Manage this calendar”, tap “Co-decorating notifications”.

  3. Turn on the “Co-decorating notifications” switch at the top.

  4. Under “What to notify me about”, turn on only the kinds you want.

The description of the top switch reads “Turn this off and activity in this calendar stops reaching this device. It still shows up in your notification history.” When the top switch is off, the kinds below are dimmed and cannot be chosen.

If the table is wider than the screen, swipe sideways to see all of it.

“Activity notifications” for a shared category has only two kinds, “Add an event” and “Event change”. The category screen reads “Pick which actions from the people you share with reach you. Deleting an event never sends a notification.”

What notifications arrive

  • When news from the same calendar keeps coming, changes made in about 4 minutes after the first notification are grouped into one notification.
  • When someone deletes an event, the notification reads like “Ocean deleted the event ‘Dentist’ (date)”. If it is unknown who deleted it, it reads like “The event ‘Dentist’ (date) was deleted”. The event's date goes inside the parentheses. Deleted events can be restored from “Notification log”.
  • Tapping a notification opens that calendar. If all the changed events are on the same day, that day's event window opens too. Tapping a deletion, join, or leave notification, or a notification covering several calendars, opens “Notification log”.

The iPhone and iPad app receives other people's changes even while it is in the background. If you have changes not yet uploaded to iCloud, a small strip showing the count, as in “3 unsent changes”, appears right below the calendar header. Tapping the strip closes it. The same line also appears near the bottom of the Settings screen. Syncing between devices is covered in 12-1 Syncing between devices.

“Notification log”

Settings ▸ “Notification log” collects the sharing notifications and sharing changes that came to this device, newest first. Who joined and left, and whom you removed, are recorded here too. Updates received while a calendar's notifications were off also appear here. Each device keeps its own log; notifications received on another device are in that device's “Notification log”.

Rows for events someone else deleted have “Make again”.

  1. Tap or click Settings ▸ “Notification log”.

  2. Tap or click “Make again” on the deleted event's row.

  3. The event is made again on the calendar, and “Made again” appears on the row.

If the table is wider than the screen, swipe sideways to see all of it.

“Co-decorating has ended. This calendar's events and decorations aren't visible anymore.”That calendar no longer exists, so you cannot make it again.

If an event you made again is later deleted again, “Make again” reappears on that row.

As the screen description “This device keeps the last 300 notifications. Clearing them can't be undone.” says, the log keeps up to the last 300 entries on this device.

To empty the log, tap “Clear history” and confirm in the “Clear the history?” window.

7-13Friend invite gift

When a friend joins a share you made with an invite code, “Edit Color palette” opens up as a gift. The app describes this gift as “Get a friend started and color palette editing opens up as a gift.”

Conditions for the gift

  • Your friend must actually join a shared calendar, category share, or cycle share you created. Only sending the code does not open it.
  • The friend who was invited and joined gets the same gift.
  • Joining with your own invite code yourself does not count.

Below that, “Color palette editing is unlocked.” appears, and the “Calendar Studio” box reads “Start from a preset, choose the paper, ink, and accent colors yourself, and save it as your own theme. Make one in Settings > Decorating.” On iPad and Mac, “Decorating” in this sentence is “Calendar decoration”. Tap “Nice!” to close the card. For someone who already has Pro, the card shows “It's Pro, so everything is already open.” instead of “Color palette editing is unlocked.”

Use the unlocked palette in Calendar Studio. On iPhone open it from Settings ▸ Decorating; on iPad and Mac, from Settings ▸ Calendar decoration. Everything Pro unlocks is covered in 17-1 What is free and what Pro unlocks.

Friend invite event

During a friend invite event period, you also get pass codes along with the palette gift. During the event period, if 10 friends join a shared calendar you created, you get a 1-year Calliary Pro pass code. Friends who were invited and joined also get a 1-month pass code.

If the table is wider than the screen, swipe sideways to see all of it.

  1. In Settings ▸ Manage sharing, tap a shared calendar. “Manage this calendar” opens.

  2. On the “Invite friends to your calendar and get a 1-year pass” card near the bottom, tap “Invite friends”. The screen for making an invite code for this calendar opens.

  3. Make a code and send it to your friend with “Copy the invitation text” or “Share”.

The card appears only to the person who made the calendar, and only during the event period. Check your progress in the “Invite friends to your calendar and get a 1-year pass” row under “Calliary Pro” in Settings. A friend who joined counts as one person only if they are still in that calendar 48 hours after joining. Until then they show as “Being checked”. At the bottom of the progress screen that opens when you tap that row, it reads “Only friends who newly joined during the event count. Your own account and members who were already sharing don't count.”

When a code arrives, “Redeem now” opens the App Store redemption screen. You can also give it to someone else with “Give to a friend”.

For the detailed rules, see “Event rules” on the event card or the progress screen. The period, what counts, the code's expiry date, and the day the free period starts if you are subscribed are listed there.

7-14“How sharing works” in the app

The Calliary app also has a guide page that sums up the ways to share. Open it in the app when you are unsure which kind of sharing to choose.

  1. Tap or click Settings ▸ Manage sharing.

  2. Tap or click the “How sharing works” card at the bottom. The card's subtitle is “Which kind of sharing fits?”

On screens where Manage sharing opens in two columns, such as on iPad and Mac, it is at the bottom of the right column.

The guide page begins with “Calliary has three ways to share. Pick the one that fits what you want to do together.” Its contents and the matching sections of this guide are below.

If the table is wider than the screen, swipe sideways to see all of it.

“Show my diary”

Your diary is for you alone. When you turn on “Show my diary” in “Manage this calendar” for a shared calendar, the people you decorate with read the diary entries you write in that calendar. When you turn it on, the “Show your diary in this calendar?” window appears, and its description reads “The people you decorate with will read the diary entries you write in this calendar — the whole page, including stickers, photos, and drawings. Turn it off and they stop right away; the entries disappear from their screens too.” Each person turns this switch on separately. In a calendar you joined with “Can view”, “You were invited to view only, so your diary can't be shown here.” appears. How to show diary entries written elsewhere in this calendar too is in 6-4 Showing entries in a shared calendar, and who sees your diary is in 6-3 Who can see your diary.
