4-1Creating an event
You create events in the day sheet. Tap a date on the calendar and that date's sheet opens.
On the calendar, tap the date where you want to add the event.
Tap + at the top right of the day sheet.
In the menu that opens, tap “Add an event” (described as “Plans, anniversaries, things to do”).
The “New event” window opens. In the title field (“Name this event”), type a name such as “Dentist”.
Choose “Starts” and “Ends”. A new event starts out one hour long.
Tap “Save” at the top right.
On Mac, the day sheet has a pink “Add” button in the same place.
The “New event” window has the fields below, from top to bottom. Apart from the title and the date, you can leave them empty and still save.
If the table is wider than the screen, swipe sideways to see all of it.
| Field | What it does | Details |
|---|---|---|
| “Type it as a sentence” | Fills the fields below from a one-line sentence (only when turned on) | 4-2 |
| “Category” | Chooses the category that groups the event | 4-7 |
| Title · icon | The event name and the icon placed in front of it | 4-6 |
| “All-day” · “Enter as a lunar date” · “Starts” · “Ends” · “Mark as an anniversary and repeat every year” | Sets when it happens | 4-3 |
| “Repeat” | Repeats it, for example every day or every week | 4-4 |
| “Reminders” | Chooses when to remind you in advance | 4-5 |
| Location · memo | “Where are you meeting?” · “Add notes” | 4-6 |
| “Color” | This event's color | 4-6 |
| “Mark as important” | Shows the event at the top of the calendar and widgets with a star | 4-6 |
On iPad and Mac, when the window is wide, the fields split into two columns. The left column has “Type it as a sentence”, “Category”, the title, the time, and “Color”. The right column has “Repeat”, “Reminders”, the location, the memo, and “Mark as important”.
A title can be up to 500 characters. If you type more, “Titles can be up to 500 characters. The extra characters were left out.” appears.
Editing an existing event
Tap an event row in the day sheet and the “Edit event” window opens. Change the fields and tap “Save”. If you try to close without saving your changes, “Discard your changes?” appears. Tap “Discard” and the window closes without your changes.
Copying an event
To make another event with the same contents, use copy.
In the day sheet, touch and hold the event row (on Mac, right-click).
Tap or click “Copy”.
A “New event” window opens, filled with the original event's contents. Change the date and fields, then tap or click “Save”.
4-2Typing an event as a sentence
Type one line such as “Dentist next Tuesday at 3” and Calliary reads the sentence and fills the fields of the “New event” window. This feature exists only when the app's display language is Korean. In other languages, the switch does not appear in Settings and the event window has no such line.
Turning it on
It is off at first.
Open Settings ▸ “Calendar display”.
Turn on the “Type it as a sentence” switch.
Below the switch it says “Off by default. Turn it on and a new event gets a line where you write a sentence, and Calliary fills the form as a draft. It reads Korean only, it never saves on its own, and a sentence it can't read leaves the form as it is.” You turn this switch on separately on each device.
Writing
Open the “New event” window (4-1 Creating an event).
Tap the “Type it as a sentence” line at the top.
Type a sentence in the field that opens. The field shows “Dentist next Tuesday at 3” as an example.
Tap “Fill it in”. While it reads, “Working on it” appears.
Check the filled fields and tap “Save”.
The fields filled from the sentence are the title, the start and end, whether it is all-day, the category, the location, and the memo. A category is chosen only when the sentence names a category you have already created. The location gets only words actually written in the sentence.
If the table is wider than the screen, swipe sideways to see all of it.
| Result | Message shown |
|---|---|
| Apple Intelligence on the device organized it | “Apple Intelligence drafted this on your device. Check it, then save.” |
| Read by the sentence rules | “This draft was read from your sentence. Check it, then save.” |
| Could not read it | “We couldn't read that sentence — fill the fields in yourself.” The fields stay as they are. |
The filled fields are saved only when you tap “Save”. The “Type it as a sentence” line appears only when you create a new event. It is not there when you edit an existing event.
4-3All-day, lunar, anniversaries, and D-day
The time field of the “New event” window has three switches.
If the table is wider than the screen, swipe sideways to see all of it.
| Switch | Description shown | When on |
|---|---|---|
| “All-day” | “An event that runs the whole day” | You choose only dates, without times |
| “Enter as a lunar date” | “For days like a lunar birthday or memorial, whose solar date shifts every year” | You choose a lunar date, and All-day turns on with it |
| “Mark as an anniversary and repeat every year” | “It becomes an all-day event every year, and the calendar shows a countdown” | All-day and the “Every year” repeat turn on with it, and a D-day count appears |
All-day events
Turn on “All-day” and “Starts” and “Ends” become fields that choose only a date. For a vacation that runs several days, you can choose an end date after the start date. The end date cannot come before the start date.
Turn All-day off and the fields go back to choosing a time. Lunar entry and the anniversary mark turn off with it.
Lunar events
Enter days you observe by the lunar calendar, such as “Mom's birthday”, as lunar dates.
In the “New event” window, turn on “Enter as a lunar date”. “All-day” turns on with it.
Choose the lunar year, month, and day. In years with a leap month, the month list includes the leap month.
Below the chosen date, the converted solar date appears as “Solar …”.
To observe it every year, choose “Every year” under “Repeat” and tap “Save”.
The “Every year” repeat of a lunar event converts the lunar date to the solar calendar again each year. So on the calendar it appears on a different solar date each year. A lunar event has no end date field.
Anniversaries and D-day
Enter days you count every year, such as “1st anniversary”, as anniversaries.
In the “New event” window, turn on “Mark as an anniversary and repeat every year”. The window title changes to “New anniversary”.
Choose the date of the first day. An anniversary has no end date.
In the “Repeat” row, choose one of four: “Every year” · “Every 100 days” · “Every 1000 days” · “Never”.
Tap “Save”.
The D-day count shows the same number on the calendar's event bar, in the day sheet, in “Upcoming”, and in the countdown widget. It counts as follows.
If the table is wider than the screen, swipe sideways to see all of it.
| Anniversary | D-day |
|---|---|
| “Every year” repeat · the first date has passed | The number of days counted from the first date, “N days ago”. The first date itself is “Today”, and the next day counts as 1 day ago |
| “Every year” repeat · the first date has not come yet | The number of days left until that day, “N days left” |
| “Every 100 days” · “Every 1000 days” | The number of days left until the next milestone date, “N days left”, and “Today” on the milestone day |
| Repeat “Never” | “N days left” until that day, “Today” on the day, “N days ago” after it |
For an anniversary that repeats “Every year”, on each day that lands on a multiple of 100 days from the first date, and on the same month and day every year (the yearly anniversary), the day sheet shows a celebration line such as “Today is 1000 days” or “Today is 3 years”. When both fall on the same day, it shows the yearly anniversary.
4-4Repeating events
When you edit a repeating event, every repeat changes with it. When you delete one, you choose whether to delete only that date or the whole series. This rule is the same in the app and on the web.
Setting a repeat
In the event window, tap the “Repeat” row.
Under “How often should it repeat?”, choose one: “Don't repeat” · “Every day” · “Weekdays (Mon–Fri)” · “Every week” · “Every 2 weeks” · “Every month” · “Every year”.
If it has a last day, turn on “Set an end date?” under “End” and choose the “End date”. Leave it off and it repeats indefinitely.
Tap “Done”, then tap “Save” in the event window.
Custom repeats
Create repeats that are not in the list under “Custom…”.
If the table is wider than the screen, swipe sideways to see all of it.
| Field | What you choose |
|---|---|
| “Frequency” | Choose a unit from “Day”, “Week”, “Month”, and “Year”, and set the interval from 1 to 99 (for example, “Every 2 weeks”) |
| “Days of the week” | The days to repeat on, for a weekly unit. “Mon–Fri” selects the weekdays at once |
| “Day of the month” | For a monthly unit, choose whether to use the same date, as in “On day 15”, or the same weekday of the first to fifth week or the last week |
| “End” | “Never” · “Date” · “Number of times”. The number of times is 1 to 999 (“Repeats 10 times”) |
A repeat that ends after a number of times can be changed only under “Custom…”. The “End” field of the repeat list also says “Change the number of times under “Custom…”.”
Editing
Whichever date of a repeating event you open and edit, the change applies to every repeat. Below the “Repeat” row of the event window you also see “Editing a repeating event applies to every repeat. To drop just one date, open that day's event and choose “Delete only this one”.”
Turning a repeat off
Change “Repeat” to “Don't repeat” and “Turning repeat off leaves a single event, and the record of the dates you dropped one by one is lost.” appears. When you save, only one occurrence of this event remains.
Deleting
Open the repeating event on the date you want to delete.
Tap “Delete the repeating event” at the bottom of the event window.
“Delete this repeating event?” and “This event repeats. Choose whether to drop only this date or delete the whole series.” appear.
To delete only that date, tap “Delete only this one”. To delete every repeat, tap “Delete all repeats”.
Choosing “Delete” from the menu in the day sheet or on a calendar cell gives you the same choice (4-9 Deleting events).
The messages you see when editing a repeating event on the web are in “11-6 Editing repeating events” in “Chapter 11 Using Calliary on the web”.
4-5Reminders
You can set several reminders for each event. Reminders go off ahead of the event's start time.
In the event window, tap “Add a reminder” in the “Reminders” field.
In the “When should we remind you?” list, choose when you want to be reminded. You can choose more than one.
Tap “Done”, then tap “Save”.
After you add one reminder, the button changes to “Add another”. To remove a reminder, tap the remove button next to it (“Remove this reminder”).
Times you can choose
If the table is wider than the screen, swipe sideways to see all of it.
| Event | List |
|---|---|
| Event with a time | “At start” · 5 minutes before · 10 minutes before · 15 minutes before · 30 minutes before · 1 hour before · 2 hours before · 3 hours before · 12 hours before · “1 day before” · “2 days before” · “1 week before” |
| All-day event · anniversary | On the day · 1 day before · 2 days before · 1 week before, each at a set time (for example, 9 AM on the day) |
For a time not in the list, choose the date and time yourself under “Pick a time…”.
Reminder time for all-day events and anniversaries
All-day events and anniversaries have no time, so their reminders go off at a set time on the chosen day. The initial time is 9 AM for all-day events and noon for anniversaries. Change it in Settings ▸ “Notifications” under “All-day event alert time” and “Anniversary alert time”. You set these times separately on each device.
If you add reminders to an event with a time and then turn on “All-day”, the reminders change to whole days. A reminder shorter than a day, such as 1 hour before, becomes a reminder on the day, and “1 day before” and “2 days before” stay as they are.
Reminders for shared events
A reminder set on an event in a shared calendar also goes to the participants as the same reminder. The reminder field also says “If the event is shared, participants get the same reminder.”
Category default reminder
If you set a “Default reminder” for a category, new events you create in that category start with that reminder filled in (4-7 Categories). You can change the filled-in reminder in the event window.
4-6Location, memo, color, icon, and important events
Icon
Tap the icon spot next to the title field (“Choose an icon”) and the sticker list opens. Choose one and that picture becomes the event's icon. To remove the icon, tap “Clear the icon”. Type a name such as “Bus” in the “Search stickers” field at the top of the list and matching stickers appear.
Location
Type the place name yourself in the location field (“Where are you meeting?”).
To find it on a map, tap “Find a place”.
Type a name in the “Search for a place” field, choose a place from the results, and tap “Use this place”.
If there are no results, “No results.” appears. If you are not connected to the internet, “Couldn't search right now. Check your network connection and try again.” appears.
Memo
Write in the memo field (“Add notes”). You can write several lines.
Color
In the “Color” field, choose a color just for this event. If you do not choose one, the event follows the category color (the default color if it has no category). In a shared calendar, it follows the calendar color.
If the table is wider than the screen, swipe sideways to see all of it.
| Where you choose | What it does |
|---|---|
| “Follow the category color” / “Follow the calendar color” | Clears the color you picked and restores the category or calendar color |
| The 12 colors in the top row | Choose from the ready-made colors |
| + (“Pick a color yourself”) | Make the color you want in the color picker |
| The “Colors you saved” row | Colors you picked yourself stay here, up to 8, most recent first. Touch and hold one (on Mac, right-click) and choose “Remove this color” to remove it |
Next to “Current color:” you see where the current color comes from: “A color you picked” · “Category” · “Calendar color” · “Default color”.
Important events
Turn on “Mark as important” and the event appears at the top of that day's events on the calendar and in widgets, with a star. The description below the switch is “It shows at the top with a star, on the calendar and in widgets”.
4-7Categories
A category is your own grouping that ties events together by color, such as “Workout” or “Work”. Categories attach only to events in “My calendar”. Events in a shared calendar have no category.
Creating
You can create a category in two places.
- The event window: tap “New category” at the end of the “Category” row.
- Settings ▸ Manage sharing ▸ “My categories”: tap “Create a new category” at the end of the list, or + (“Add a category”) at the top right.
In the “New category” window, type a name (“Give this category a name”), choose a color (“Pick a color you like.”), and tap “Create”. “How it looks” previews how it will look on the calendar.
Turn on “Make this the default category” and this category is already selected when you create a new event. You can have only one default category, and you set it separately on each device.
Categories created in the event window
A category you create in the event window is saved the moment you create it and is selected for that event right away. The category row scrolls to show the category you just created. Long names are shortened with “…”.
If you discard that new event without saving it, “Delete the New Category Too?” appears.
If the table is wider than the screen, swipe sideways to see all of it.
| What you choose | Result |
|---|---|
| “Delete Category Too” | Deletes the category you just created along with the event |
| “Keep Category” | The category stays, and you can use it for other events |
Once the category has already been uploaded to iCloud, Calliary keeps it without asking.
Choosing
Tap a category in the “Category” row of the event window. To leave the event without a category, tap “None”.
Editing
In Settings ▸ Manage sharing ▸ “My categories”, tap a category row to see the fields below.
If the table is wider than the screen, swipe sideways to see all of it.
| Field | What it does |
|---|---|
| “Category name” · color | Changes the name and color |
| “Make this the default category” | Makes it the category selected first for new events. When you turn it on, other categories stop being the default |
| “Default reminder” | New events you create in this category start with this reminder filled in |
| “Show on calendars” | Shows this category's events in shared calendars too (“7-6 Show my events” in “Chapter 7 Sharing”) |
| Category sharing | Shares this category with other people (“7-7 Category sharing” in “Chapter 7 Sharing”) |
Hiding from the calendar
In the “My categories” list, turn off the check to the left of a category and that category's events are hidden from the calendar, the year view, and “Upcoming”. Reminders still arrive. This check applies only to the device you are using. The list also says “Turn off the check on the left and that category's events are hidden from the calendar, the year view, and Upcoming. Reminders still arrive. Tap a row to manage its color, Show on calendars, and Category sharing.”
On Mac, the checks in the “Category” list on the left of the window do the same thing.
Events without a category always appear, whatever the checks. If you hide every category, “All categories are hidden · only events without a category are showing” appears.
Deleting
In “My categories”, tap the category row.
Tap “Delete category” at the bottom.
Choose an option in “Delete this category?”.
If the table is wider than the screen, swipe sideways to see all of it.
| What you choose | Result |
|---|---|
| “Delete the events too” | Deletes the category and all the events in it |
| “Delete only the category (keep the events)” | Deletes only the category. The events stay, with no category |
For a category with no events in it, only “Delete category” appears, together with “There are no events in this category. Only the category is deleted.”
How to delete a category you share with other people, or stop sharing it, is in “7-10 Stopping” in “Chapter 7 Sharing”. How a category you received appears in your calendar is in “7-7 Category sharing”.
4-8Finding events
Event search looks first inside the calendar you are viewing. If you have shared calendars, you can widen it to all calendars.
Tap the magnifying glass (“Search events”) at the top of the calendar screen.
Type what you are looking for in the “Search events, places, notes” field.
Tap a result and that day opens in the calendar that has the event.
Events are found by title, location, and memo. Decorations are found by the text on the notes you stuck on. Results are split into “Events” and “Decoration notes”, and if there are many, “Show more” shows the rest. Events at the same time are listed in title order.
Search scope
If you have even one shared calendar, the current search scope appears below the search field.
If the table is wider than the screen, swipe sideways to see all of it.
| Line shown | Meaning | When you tap it |
|---|---|---|
| “Searching ‘My calendar’” and “Search all calendars” | It is searching only inside the calendar that is open | Searches all calendars |
| “Searching all calendars” and “Search only ‘My calendar’” | It is searching every calendar you use | Searches only inside the open calendar again |
When you search all calendars, each result carries its calendar name. Events another person shows with “Show my events” also show who shared them, as in “Sky's event”.
Narrowing by category
When you search “My calendar”, category chips line up below the search field. Tap or click a chip and only that category's events stay in the results. You can select several chips together. Tap or click a chip again to deselect it. While searching all calendars, there are no chips.
How to search on the web is in “11-2 What works on the web and what is app-only” in “Chapter 11 Using Calliary on the web”.
4-9Deleting events
You can delete events in three places. Wherever you delete, the same confirmation appears.
If the table is wider than the screen, swipe sideways to see all of it.
| Where | iPhone · iPad | Mac |
|---|---|---|
| Event window | “Delete event” at the bottom (“Delete the repeating event” for repeating events) | Same |
| Event row in the day sheet | Touch and hold the row, then “Delete” | Right-click the row, then “Delete” |
| Date cell on the calendar · “Upcoming” row | Touch and hold, choose the event, then “Delete” | Right-click, choose the event, then “Delete” |
The touch-and-hold menu (right-click on Mac) has “Open event” · “Copy” · “Delete”. If the day has many events, “See all events” opens the day sheet. This menu appears only in view mode. In decorating mode, touching and holding a date cell shows no menu.
Confirmation
If the table is wider than the screen, swipe sideways to see all of it.
| Event | Confirmation |
|---|---|
| A one-time event | “Delete this event?” · “Deleting this event can't be undone.” → “Delete” |
| A repeating event | “Delete this repeating event?” → “Delete only this one” or “Delete all repeats” (4-4 Repeating events) |
| An event someone else wrote in a shared calendar | Who wrote it is shown too, as in “Sky wrote this event. Deleting it removes it for everyone in this calendar.” |
Calendars you joined with “Can view” permission and events that come through “Show my events” have no “Delete”. To delete an event shown through “Show my events”, delete the original event (“7-6 Show my events” in “Chapter 7 Sharing”).
How to delete on the web is in “Chapter 11 Using Calliary on the web”.
4-10When the same event is edited at the same time
You can edit an event while your other device or someone you share with is editing the same event. When the Calliary app saves, it saves only the fields you changed.
When different fields were edited
If the other person edited the memo while you edited the location, both edits remain. After you save, a confirmation shows “Saved” and the fields that were kept too, as in “Changes made elsewhere to Notes were kept too.”
When the same field was edited
If the same field was changed on both sides, the “Choose What to Keep” window opens when you save. The window says “While you were editing, the same field was changed somewhere else. Choose which version to keep where they overlap. All other changes from both sides are saved.”, and for each overlapping field “Incoming Version” and “Your Version” appear side by side.
If the table is wider than the screen, swipe sideways to see all of it.
| What you choose | Result |
|---|---|
| “Save Incoming Version” | The overlapping fields are saved with the changes made elsewhere |
| “Save Your Version” | The overlapping fields are saved with your changes |
Whichever you choose, edits from both sides to fields that do not overlap remain. The fields compared are the title, time, anniversary, repeat, reminders, memo, location, category, icon, color, and important mark.
When the event was deleted elsewhere while you were editing
If the event is deleted somewhere else while you are editing it, the event window shows “This Event Was Deleted Elsewhere” and “What you wrote is still here. Save to create it again as a new event.” right away. Tap “Create as New Event” and what you have written is saved as a new event.
The messages on the web when the same event was changed elsewhere are in “11-5 When changes appear, and 「Refresh」” in “Chapter 11 Using Calliary on the web”.
